Health insurance certificate for sports membership fees: what the club needs to provide
In Belgium, most health insurance funds (mutualités / mutualiteiten) refund part of the membership fee paid to a sports club, usually between €15 and €55 a year per member depending on the fund and the member’s age. For members it’s easy money; for the club it means a pile of certificates to fill in every year. Here is how to keep it simple.
What the health insurance fund asks for
- The club’s name, its legal form (ASBL/VZW) and often its company number (BCE/KBO).
- The member’s name and date of birth.
- The period covered (the season) and the amount of the membership fee paid.
- A signature or stamp from the club.
Each fund has its own form (Partenamut, Solidaris, Mutualité chrétienne / CM, Helan, Liberale Mutualiteit…), but they all accept a certificate from the club containing this information, attached to the proof of payment.
Who fills in what
The member downloads their fund’s form and has the club complete it, or attaches the club’s certificate to their online request. The club doesn’t need to know which fund the member belongs to: a generic certificate is enough.
Keep it simple: the pre-filled certificate
With MPass, the certificate is generated from the member’s record: club, legal form, company number, member, tier, membership fee and period are already filled in. All that’s left is to print it or send it as a PDF. For a club with 300 members, that’s several evenings saved at the start of every season.
What about the proof of payment?
The member provides it (bank statement or receipt). MPass does not collect membership fees: the member pays the club as usual, and the club activates their card.
