Gym membership card in Apple Wallet and Google Wallet, scanned at reception
In an independent gym or studio, the plastic key fob gets lent to a flatmate, and monthly members who stopped paying keep turning up at six. A gym membership card in the Wallet shows the member’s name, plan and end date on their own phone, and reception scans it on the way in.

What the access card shows at reception
The access card shows your studio’s logo, the member’s name and number, the plan and the date it is valid to. Monthly, Student and 10 sessions are example plans. When a monthly member pays for the next month, you extend the date and the card on their phone updates; if they stop, the card expires and the scan says so. The scan is done by a person with a phone at reception. Two honest limits: MPass does not open doors or turnstiles, and it does not count down the sessions on a 10-session card.
| Example plan | Example amount |
|---|---|
| Monthly | €35 |
| Student | €25 |
| 10 sessions | €90 |
Example plans and amounts from the “Access card” template: you change the names, the amounts and the validity period. MPass does not collect these amounts. On the back of the card you write your own text, for example: Weights · CrossFit · Yoga · Sauna.
Three real situations
The six o’clock rush
Twenty people arrive for the same class. Whoever is at the desk scans each card in a second and sees the ones that ran out last week, instead of checking a spreadsheet while the queue reaches the door.
Student rate in September
You check the student ID once, when the member joins, and put them on the Student plan with an end date in June. After that the access card itself carries the plan and nobody asks again.
A taster class for newcomers
A free or cheap first class brings in people you do not know yet. Issue it as an event with tickets through a link: you see who is coming, scan them in, and send the membership link to those who want to continue.
How it works: 3 steps
Open the “Gym & fitness” template
It is already set up for this activity: “Access card” as the title, example plans, colours. Add your logo and your own text in ten minutes.
Add your members
One by one, through a sign-up link each person fills in, or by Excel import on the Pro plan. Everyone receives their card by email or by link.
Scan with your phone
The card goes into Apple Wallet or Google Wallet in one tap. To check it, you scan its QR code with your own phone, with no hardware to buy.
Example: a CrossFit box with 85 members
Take a box with 60 monthly members, 15 students and 10 people on a 10-session card. Example prices: €35 a month, €25 for students, €90 for ten sessions, paid by standing order or at the desk. The owner adds members as they join and extends cards when the month is paid. Sessions on the 10-session cards are still ticked off on the box’s own sheet. With 85 active cards, Essential at €19 excl. VAT a month is enough.
Tickets for your events too
The same app creates tickets for your events, for example “Taster class” or “Challenge of the month”. You share a link, each guest gets a ticket with a QR code in their Wallet, and you scan at the door. MPass does not collect the ticket price: you take it as you always have. See event ticketing. By event type: all events.
What it costs
Free up to 50 active cards or tickets, with no time limit. The Essential plan (€19 a month excluding VAT, up to 300 cards) adds renewal reminders and certificates. The Pro plan (€49 a month excluding VAT) adds Excel import. No commitment, and a 14-day trial of the paid plans with no credit card.
Frequently asked questions
Can the card open our door outside staffed hours?
No. MPass does not drive doors, turnstiles or gates, so it is not a fit for an unstaffed gym open around the clock. It suits places where someone greets members: a studio, a box, a small gym with a desk.
Does MPass count the sessions used on a 10-session card?
No. The card can show the plan 10 sessions and an end date, but it has no counter. You keep the tally as you do today, on paper or in your own system. If the count matters most to you, a class booking tool is the better choice for that part.
Monthly memberships renew every month. Is that a lot of work?
You extend a card when the payment arrives, which takes a moment per member; MPass does not collect the money or run direct debits. If that is too much handling, set longer validity periods, for example three months. The automatic reminder goes out a month before the end, so it suits longer plans better.
Does MPass collect membership fees?
No. You enter the amounts for information only. Your members pay the club as usual (bank transfer, in person) and you activate their card in MPass. No payment goes through the app.
Do we need to install an app?
No. You manage everything from your browser, and your members install nothing: the card goes straight into Apple Wallet (iPhone) or Google Wallet (Android), which are already on their phone.
