Board game club membership card: a player card in Apple Wallet and Google Wallet
A games club owns three hundred boxes that members borrow, runs tables that seat five and not six, and welcomes curious visitors every Friday who may or may not come back. A board game club membership card in the Wallet shows who has joined for the year, which is the first thing to know before a game leaves the shelves.

The player card for game nights and the library
The player card shows the club’s name and logo, the player’s name and member number, the plan and the year. Player and Student are example plans. New players join through a link, which you can pin as a QR code next to the shelves, pay the club as usual and receive the card by email. A renewal extends the same card. On game night, the volunteer at the library desk scans the QR code with a phone or simply reads the member number. Which game is out, and with whom, is still written in your own loan book.
| Example plan | Example amount |
|---|---|
| Player | €20 |
| Student | €10 |
Example plans and amounts from the “Player card” template: you change the names, the amounts and the validity period. MPass does not collect these amounts. On the back of the card you write your own text, for example: Game library · Role-playing · Wargaming.
Three real situations
Borrowing from the game library
A member takes home a heavy box worth sixty euros. The librarian looks at the card, notes the member number in the loan book and knows the borrower is a current member, not last year’s visitor.
Friday game night
Visitors are welcome for an evening or two. Members show their card; newcomers are pointed to the QR code on the wall when they decide to join, and their card is active once the fee is in the tin.
The annual tournament
Sixteen tables in the multi-purpose hall, four seats each. Registration is by ticket through a link, with exactly as many tickets as chairs, and players are scanned at check-in before the first round is seated.
How it works: 3 steps
Open the “Board games & role-playing” template
It is already set up for this activity: “Player card” as the title, example plans, colours. Add your logo and your own text in ten minutes.
Add your members
One by one, through a sign-up link each person fills in, or by Excel import on the Pro plan. Everyone receives their card by email or by link.
Scan with your phone
The card goes into Apple Wallet or Google Wallet in one tap. To check it, you scan its QR code with your own phone, with no hardware to buy.
Example: 55 players and 300 games on the shelves
Take a club with 40 adult players and 15 students. Example fees: €20 and €10 a year, paid in cash on game night. A committee member adds players as they pay and the card reaches them before they have chosen a table. Fifty-five cards is just above the free plan’s 50 active cards, so the club takes Essential at €19 excl. VAT a month. It then also gets the renewal reminder, useful for members who only come twice a year for the role-playing weekend.
Tickets for your events too
The same app creates tickets for your events, for example “Game night” or “Annual tournament”. You share a link, each guest gets a ticket with a QR code in their Wallet, and you scan at the door. MPass does not collect the ticket price: you take it as you always have. See event ticketing.
What it costs
Free up to 50 active cards or tickets, with no time limit. The Essential plan (€19 a month excluding VAT, up to 300 cards) adds renewal reminders and certificates. The Pro plan (€49 a month excluding VAT) adds Excel import. No commitment, and a 14-day trial of the paid plans with no credit card.
Frequently asked questions
Can MPass record which games a member has borrowed?
No. MPass is not a lending system: it holds no catalogue of games and no due dates. It gives each player a card with a member number. Your loan book or spreadsheet uses that number, and the card shows that the borrower is a member in good standing.
Role-playing tables have a fixed number of seats. Can we limit sign-ups?
For a one-off session or a convention day, yes: create it as an event with as many tickets as there are seats. For a campaign that runs all year with the same five players, a ticket adds little; your game master’s own list is simpler.
Do visitors need a card for a trial evening?
No. Nothing has to be created for someone who comes once to see what the club is like. If you charge visitors a small entry on big evenings, you can issue tickets for those evenings. The card is for people who join.
Does MPass collect membership fees?
No. You enter the amounts for information only. Your members pay the club as usual (bank transfer, in person) and you activate their card in MPass. No payment goes through the app.
Do we need to install an app?
No. You manage everything from your browser, and your members install nothing: the card goes straight into Apple Wallet (iPhone) or Google Wallet (Android), which are already on their phone.
