In a coworking space, people come and go on monthly plans, day passes and trial weeks, and the community manager cannot remember whose membership ended last Friday. A coworking space access badge in the Wallet shows each member’s plan and the date it runs to, and a scan at reception answers the question.

Nomad, fixed desk, private office

The badge is in the colours of your space and shows the member’s name, a number, the plan and the date it is valid until. Plans are whatever you offer, for example Nomad at €150, Fixed desk at €290 and Private office at €590 a month. When a nomad takes a fixed desk, or a membership is extended for another month, the badge changes on the phone without action from the member. At reception, your team scans the QR code with a phone. Despite its name, the badge does not unlock doors: it proves membership.

Three real situations

A new face at the coffee machine

The community manager asks to see the badge, scans it and knows in a second whether this is a nomad member, someone from the private office on the second floor, or a visitor who should sign in.

Month-end renewals

Memberships that roll from month to month are the hardest to follow. A badge whose date has passed is flagged at the scan, which gives you a simple, neutral reason to raise the invoice that is still open.

Breakfasts and masterclasses

For a members’ breakfast or a masterclass in room B, share a ticket link. Members and outside guests each get a QR code, and you know how many croissants to order.

Example: a coworking space with 65 members

Picture a space with 40 nomad members, 20 fixed desks and 5 private offices. Invoices are issued from the space’s own billing tool and paid by transfer or by a direct debit set up outside MPass. When a new member signs, the manager sends the sign-up link, then activates the badge. With 65 badges, the space uses the Essential plan at €19 excl. VAT per month. Each month, she extends the badges of members who have paid; the others expire on their date.

Tickets for your events too

The same app creates tickets for your events, for example “Members’ breakfast” or “AI masterclass”. You share a link, each guest gets a ticket with a QR code in their Wallet, and you scan at the door. MPass does not collect the ticket price: you take it as you always have. See event ticketing.

What it costs

Frequently asked questions

Does the badge open the door or the turnstile?

No. MPass does not control locks, turnstiles or access control systems. The badge is a scannable proof of membership, checked by a person with a phone. For round-the-clock access, your key fobs or door codes remain necessary.

Can members book meeting rooms with it?

No. MPass does not handle room or desk bookings and does not count hours or credits. Keep your booking calendar for that. The badge only tells you who is a member, on which plan, and until which date.

How do day passes fit in?

You can create a plan for day visitors and give the badge a one-day validity, or issue a ticket for a specific open day. In both cases the visitor has a QR code on their phone and reception checks it with a scan.

Does MPass collect membership fees?

No. You enter the amounts for information only. Your members pay the club as usual (bank transfer, in person) and you activate their card in MPass. No payment goes through the app.

Do we need to install an app?

No. You manage everything from your browser, and your members install nothing: the card goes straight into Apple Wallet (iPhone) or Google Wallet (Android), which are already on their phone.
