Parents’ association membership card: one per family, in the Wallet
A parents’ association renews itself every September: a new intake of families, envelopes of coins in school bags, and a treasurer who has two evenings a month for all of it. The parents’ association membership card, one per family in Apple Wallet or Google Wallet, shows who has joined for this school year.

One card per family for the school year
The card carries the association’s name, the family’s name, a member number, the plan and the last day of the school year. Family and Support are example plans, the second for families who choose to give a little more. Parents join through a membership link, shared in the school newsletter or printed as a QR code on the note sent home, and receive the card by email. It expires by itself in summer; families who stay are renewed and keep the same card. At your events, a volunteer scans the QR code with a phone.
| Example plan | Example amount |
|---|---|
| Family | €15 |
| Support | €25 |
Example plans and amounts from the “Membership card” template: you change the names, the amounts and the validity period. MPass does not collect these amounts. On the back of the card you write your own text, for example: Parents’ committee · School events.
Three real situations
The first parents’ evening
New families hear about the association for the first time. The QR code of the membership link is on the screen; parents sign up from their seat, and the treasurer matches payments later in the week.
The school fair
Meal tickets for the barbecue are reserved through a link so the butcher gets an order that matches. On the day, volunteers at the playground gate scan tickets, and member families show their card for their free drink.
The Christmas market
Under the playground shelter, stalls are run by parents who change every hour. A member family’s card is recognised by whoever is on duty, with no list to pass from hand to hand in the cold.
How it works: 3 steps
Open the “Parents’ association” template
It is already set up for this activity: “Membership card” as the title, example plans, colours. Add your logo and your own text in ten minutes.
Add your members
One by one, through a sign-up link each person fills in, or by Excel import on the Pro plan. Everyone receives their card by email or by link.
Scan with your phone
The card goes into Apple Wallet or Google Wallet in one tap. To check it, you scan its QR code with your own phone, with no hardware to buy.
Example: a primary school with 140 member families
Take a school of 260 pupils where 140 families join the association. Example contributions: €15 for a family, €25 for the Support plan, paid by transfer with the eldest child’s class as reference. The treasurer shares the link in the September newsletter and activates cards twice a week. With 140 cards the association uses Essential at €19 excl. VAT a month. The fair’s meal tickets come from the same account; the money for them goes to the association’s own bank account.
Tickets for your events too
The same app creates tickets for your events, for example “School fair” or “Christmas market”. You share a link, each guest gets a ticket with a QR code in their Wallet, and you scan at the door. MPass does not collect the ticket price: you take it as you always have. See event ticketing.
What it costs
Free up to 50 active cards or tickets, with no time limit. The Essential plan (€19 a month excluding VAT, up to 300 cards) adds renewal reminders and certificates. The Pro plan (€49 a month excluding VAT) adds Excel import. No commitment, and a 14-day trial of the paid plans with no credit card.
Frequently asked questions
Do we need the school’s pupil list to create the cards?
No. Families join by themselves through the membership link and enter only what you ask for. The association does not need to obtain a list from the school, and remains responsible for the data it collects. That data is hosted in the European Union.
What happens to the card when a child leaves the school?
Nothing has to be done. The card ends on the date set for the school year and shows as expired afterwards. Families who leave are simply not renewed; those who stay are extended in September and keep the card already in their Wallet.
Can we take payment for the fair through MPass?
No. MPass issues the tickets and scans them, but it does not handle money. Parents pay the association as usual, by transfer or at the gate. That also means no commission is taken on your fair or your Christmas market.
Does MPass collect membership fees?
No. You enter the amounts for information only. Your members pay the club as usual (bank transfer, in person) and you activate their card in MPass. No payment goes through the app.
Do we need to install an app?
No. You manage everything from your browser, and your members install nothing: the card goes straight into Apple Wallet (iPhone) or Google Wallet (Android), which are already on their phone.
