Scout group membership card: the unit card in Apple Wallet and Google Wallet

Every September the unit leader ends up with a shoebox of registration forms, three bank transfers with no name on them, and parents who are sure they paid. With a scout group membership card in the Wallet, each child has a unit card on a parent’s phone that becomes active when the fee arrives, and leaders check it with a scan.

What the unit card shows for each child

One card per child, in the unit’s colours: name, member number, plan and the end of the year. Youth member, 2nd child and Leader are example plans; the second lets you show a reduced rate for brothers and sisters, and leaders pay nothing. Parents fill in the membership link themselves and receive the card by email, then keep it in their own Apple Wallet or Google Wallet. When the child is registered again next year, the card updates. A leader checks it by scanning the QR code with their phone.

Three real situations

Registration Saturday

At the first meeting of the year, parents no longer fill in forms on the bonnet of a car. They completed the link at home; the group leader only checks whose fee has arrived and activates the cards.

The spaghetti dinner

The fundraising dinner in the parish hall has two sittings and a kitchen that needs numbers. Families book tickets through a link, pay by bank transfer to the unit, and are scanned at the door of the hall.

Leaving for summer camp

On the morning the coach leaves, leaders want one certainty: every child on board is a registered member this year. A quick scan of the parents’ phones beside the pile of rucksacks settles it.

Add your members

One by one, through a sign-up link each person fills in, or by Excel import on the Pro plan. Everyone receives their card by email or by link.

Example: a unit of 95 children and 18 leaders

Take a unit with four sections, 95 children and 18 leaders. Example fees: €60 for a first child, €50 for a second, nothing for leaders. The group leader sends the membership link by email in late August; parents enter their children one by one and pay by transfer with the child’s name as reference. Cards are activated on Sunday evenings. With 113 cards the unit uses Essential at €19 excl. VAT a month. Camp fees and medical forms stay outside MPass.

Tickets for your events too

The same app creates tickets for your events, for example “Spaghetti dinner” or “Summer camp”. You share a link, each guest gets a ticket with a QR code in their Wallet, and you scan at the door. MPass does not collect the ticket price: you take it as you always have. See event ticketing.

What it costs

Free up to 50 active cards or tickets, with no time limit. The Essential plan (€19 a month excluding VAT, up to 300 cards) adds renewal reminders and certificates. The Pro plan (€49 a month excluding VAT) adds Excel import. No commitment, and a 14-day trial of the paid plans with no credit card.

Frequently asked questions

Children under twelve have no phone. Who holds the card?

A parent. The card is sent to the email address the parent gave and is added to their Wallet. A parent with three children in the unit has three cards on one phone. Leaders scan the parent’s screen when the child is dropped off.

How do we show the reduced rate for a second child?

With a plan. Create one called 2nd child, for example, with its own indicative fee, and choose it when you add the brother or sister. MPass does not calculate family discounts by itself: you decide which child goes on which plan.

Can MPass store medical forms or camp permissions?

No. MPass keeps what is needed for the card: identity, plan, dates. Health forms, parental permissions and camp registrations stay in your own files, on paper or wherever your movement asks you to keep them.

Does MPass collect membership fees?

No. You enter the amounts for information only. Your members pay the club as usual (bank transfer, in person) and you activate their card in MPass. No payment goes through the app.

Do we need to install an app?

No. You manage everything from your browser, and your members install nothing: the card goes straight into Apple Wallet (iPhone) or Google Wallet (Android), which are already on their phone.
