The camp card for holiday camps and playschemes, on the parents’ phone
On the Monday of a holiday camp, forty parents arrive in ten minutes and the leader has to find each child on a list while holding a clipboard and a first-aid bag. With a camp card for each child on the parent’s phone, the leader scans a QR code and sees that the child is enrolled for this week’s holiday camp.

One week, one child, one card
The camp card shows the organiser’s name and colours, the child’s name, a number, the option taken and the dates of validity. Options are defined by you, for example a full week at €95 or a single day at €22. The card is sent to the parents and stays in their Wallet. If a family adds a second week, the validity is extended and the card follows. At drop-off, a leader scans the QR code with a phone and sees whether the card is valid. It is a check of enrolment, not an attendance sheet.
| Example plan | Example amount |
|---|---|
| Weekday | €95 |
| Day | €22 |
Example plans and amounts from the “Camp card” template: you change the names, the amounts and the validity period. MPass does not collect these amounts. On the back of the card you write your own text, for example: Sport · Arts · Science · Outings · Meals included.
Three real situations
Monday morning drop-off
Parents queue at the sports complex with bags and sun cream. Each shows the child’s card, the leader scans it and points to the right group. Children who are not enrolled this week are spotted at the door, not at lunchtime.
Pick-up at half past four
The adult collecting the child shows the same card. It helps a leader who started on Monday to link an adult to a child. Your own list of people authorised to collect each child remains the rule.
The show on the last afternoon
For the end-of-camp show in the hall, share a ticket link with families. Each guest has a QR code, scanned at the door, and you know roughly how many chairs to put out.
How it works: 3 steps
Open the “Holiday camps & playschemes” template
It is already set up for this activity: “Camp card” as the title, example plans, colours. Add your logo and your own text in ten minutes.
Add your members
One by one, through a sign-up link each person fills in, or by Excel import on the Pro plan. Everyone receives their card by email or by link.
Scan with your phone
The card goes into Apple Wallet or Google Wallet in one tap. To check it, you scan its QR code with your own phone, with no hardware to buy.
Example: a multi-sport camp of 45 children a week
Imagine an association running six weeks of camps in July and August, with 45 children a week, about 270 enrolments in all. Parents register through the sign-up link, pay the association by transfer, and the coordinator activates the cards on the Friday before each week. For the summer, the association chooses Essential at €19 excl. VAT per month, which covers up to 300 cards and lets it create a certificate of the fees paid for parents who ask for one.
Tickets for your events too
The same app creates tickets for your events, for example “Multi-sport camp” or “End-of-camp show”. You share a link, each guest gets a ticket with a QR code in their Wallet, and you scan at the door. MPass does not collect the ticket price: you take it as you always have. See event ticketing.
What it costs
Free up to 50 active cards or tickets, with no time limit. The Essential plan (€19 a month excluding VAT, up to 300 cards) adds renewal reminders and certificates. The Pro plan (€49 a month excluding VAT) adds Excel import. No commitment, and a 14-day trial of the paid plans with no credit card.
Frequently asked questions
Can we give parents a certificate for childcare costs?
On the Essential plan and above, you can create a certificate from the child’s record stating the enrolment and the amount paid. Whether it meets the requirements for a tax deduction or a refund in your country is something to check with the relevant office; MPass gives no tax advice.
Does the scan log arrival and departure times?
No. MPass does not keep attendance or time records. The scan tells the leader that the card is valid for the period. Keep your signing-in sheet if you need one for your insurance or your funding body.
A child comes for single days only. How do we show that?
Create a Day option next to the weekly one and give the card a validity that matches the day or days agreed. The leader sees the option and the dates on the card, so a child enrolled for Tuesday is not expected on Wednesday.
Does MPass collect membership fees?
No. You enter the amounts for information only. Your members pay the club as usual (bank transfer, in person) and you activate their card in MPass. No payment goes through the app.
Do we need to install an app?
No. You manage everything from your browser, and your members install nothing: the card goes straight into Apple Wallet (iPhone) or Google Wallet (Android), which are already on their phone.
