The secondary school pupil card, in Apple Wallet and Google Wallet

Teenagers lose a plastic pupil card within a month but never leave home without their phone. A secondary school pupil card in the Wallet is therefore the one they actually have on them at the gate, at the canteen or on a school trip, and staff can scan it to see that it belongs to a current pupil.

A pupil card that survives the school year

On the card: the school’s name, crest and colours, the pupil’s name, a pupil number and the school year it is valid for. A single type is often enough, for example Pupil at €0; you could add a type for staff. In September, renewed cards show the new year by themselves and those of leavers expire. At the entrance or at lunchtime, a supervisor scans the QR code with a phone to confirm the card is valid. The scan is a check, not a register: it does not log arrivals.

Example plans and amounts from the “Pupil card” template: you change the names, the amounts and the validity period. MPass does not collect these amounts. On the back of the card you write your own text, for example: Secondary school · Sixth form · Extracurricular activities.

Three real situations

Leaving the grounds at lunchtime

Many schools let only older pupils go out at midday. If you create a separate type for them, the supervisor at the gate sees it on the card straight away, without consulting a class list.

Showing the card outside school

A cinema, a bus company or a museum may ask for proof of being a pupil. The card on the phone shows the school and the current year. Whether a third party accepts it is their decision, as with any school card.

The final-year ball

The pupils’ committee shares a ticket link, collects the money itself and keeps its own list of who has paid. At the door of the hall, each QR code is scanned by phone instead of names being ticked off on paper.

How it works: 3 steps

Open the “Secondary school” template

It is already set up for this activity: “Pupil card” as the title, example plans, colours. Add your logo and your own text in ten minutes.

Add your members

One by one, through a sign-up link each person fills in, or by Excel import on the Pro plan. Everyone receives their card by email or by link.

Scan with your phone

The card goes into Apple Wallet or Google Wallet in one tap. To check it, you scan its QR code with your own phone, with no hardware to buy.

Create my school’s pupil card

Example: a secondary school of 620 pupils

Imagine a school with 620 pupils and 70 members of staff. The administration exports names and email addresses from its own pupil database to an Excel file and imports it on the Pro plan at €49 excl. VAT per month. Each pupil receives the card by email at their school address and adds it to their phone. In June, the final-year committee uses the same account to create 280 tickets for the ball and scans them at the hall.

Tickets for your events too

The same app creates tickets for your events, for example “Final-year ball” or “Open day”. You share a link, each guest gets a ticket with a QR code in their Wallet, and you scan at the door. MPass does not collect the ticket price: you take it as you always have. See event ticketing. By event type: Ball and prom · School fair · Open day · all events.

What it costs

Free up to 50 active cards or tickets, with no time limit. The Essential plan (€19 a month excluding VAT, up to 300 cards) adds renewal reminders and certificates. The Pro plan (€49 a month excluding VAT) adds Excel import. No commitment, and a 14-day trial of the paid plans with no credit card.

Frequently asked questions

Can the pupil card be used at the canteen till or the photocopier?

No. The card does not hold credit and is not linked to tills, printers or lockers. It identifies a current pupil. If your canteen runs on a prepaid account, that system stays in place alongside the card.

What happens when a pupil changes phone or leaves the school?

A pupil who changes phone opens the link from the original email again and adds the card to the new device. When a pupil leaves, the card is not extended: it expires at the end of the school year and no longer passes the scan.

Is this compatible with our duties on pupils’ data?

Data is hosted in the European Union and MPass is GDPR compliant. The card needs little: a name, an email address to send it to, and the type of card. The school remains responsible for deciding what it collects and for informing parents.

Does MPass collect membership fees?

No. You enter the amounts for information only. Your members pay the club as usual (bank transfer, in person) and you activate their card in MPass. No payment goes through the app.

Do we need to install an app?

No. You manage everything from your browser, and your members install nothing: the card goes straight into Apple Wallet (iPhone) or Google Wallet (Android), which are already on their phone.
