Student council membership card in Apple Wallet and Google Wallet

A student council speaks for every student, yet when the general assembly opens it has no simple way to tell who may sit in the hall and who holds a delegate’s seat. A student council membership card in the Wallet, free for students, shows that in one line and is scanned at the lecture hall door.

What the council’s student card shows

The card shows the council’s logo, the student’s name, a number, the plan and the academic year. Member and Delegate are example plans, both without a fee. Students sign up through a membership link you share by email, on screens or on posters; they type their own details. When elections bring in new delegates, you change their plan and their card updates. At the door of an assembly or a campus party, a council member scans the QR code with a phone. The card is not the institution’s official student card.

Example plans and amounts from the “Student card” template: you change the names, the amounts and the validity period. MPass does not collect these amounts. On the back of the card you write your own text, for example: Representation · Student life · Lobbying.

Three real situations

The general assembly

At the door of the main lecture hall, cards are scanned as students come in. Delegates are recognised by their plan, which helps when voting cards are handed to them only. Counting the votes remains your job.

The back-to-school party

The first party on campus is for the institution’s students. A scan at the entrance shows a valid card for this year, and the council knows the evening stayed among its own public.

After the delegate elections

Results are announced on a Thursday. By Friday the new delegates’ cards say Delegate and the outgoing ones say Member again, without anyone printing or collecting a badge.

How it works: 3 steps

Open the “Student council” template

It is already set up for this activity: “Student card” as the title, example plans, colours. Add your logo and your own text in ten minutes.

Add your members

One by one, through a sign-up link each person fills in, or by Excel import on the Pro plan. Everyone receives their card by email or by link.

Scan with your phone

The card goes into Apple Wallet or Google Wallet in one tap. To check it, you scan its QR code with your own phone, with no hardware to buy.

Create my student card

Example: a college of 700 students

Take a college with 700 students, of whom 380 take the council’s card, including 24 delegates. The card is free for them. In September the council sends the membership link through the college mailing list and puts its QR code on the canteen screens. Students join by themselves in a minute. With 380 cards the council needs Pro at €49 excl. VAT a month, which it budgets from its yearly grant. Delegates’ plans are updated after the October elections.

Tickets for your events too

The same app creates tickets for your events, for example “General assembly” or “Back-to-school party”. You share a link, each guest gets a ticket with a QR code in their Wallet, and you scan at the door. MPass does not collect the ticket price: you take it as you always have. See event ticketing. By event type: Student night · all events.

What it costs

Free up to 50 active cards or tickets, with no time limit. The Essential plan (€19 a month excluding VAT, up to 300 cards) adds renewal reminders and certificates. The Pro plan (€49 a month excluding VAT) adds Excel import. No commitment, and a 14-day trial of the paid plans with no credit card.

Frequently asked questions

The card is free for students. Is MPass free for the council?

Up to 50 active cards, yes, with no time limit. A council that gives a card to several hundred students will need a paid plan: Essential at €19 excl. VAT a month up to 300 cards, Pro at €49 beyond that. There is no commitment.

Can MPass run the vote at our general assembly?

No. MPass does not organise votes or count them. It tells you who is at the door: a member, a delegate, or someone without a valid card. Ballots, shows of hands and minutes stay with your assembly’s own procedure.

Does this replace the institution’s student card?

No. The official student card proves enrolment and is issued by the institution. The council’s card shows that a student has joined the council’s list and, where relevant, that they are a delegate. It has no value for exams, libraries or public transport.

Does MPass collect membership fees?

No. You enter the amounts for information only. Your members pay the club as usual (bank transfer, in person) and you activate their card in MPass. No payment goes through the app.

Do we need to install an app?

No. You manage everything from your browser, and your members install nothing: the card goes straight into Apple Wallet (iPhone) or Google Wallet (Android), which are already on their phone.
