Gala dinner tickets: named guests and table numbers for your charity evening
A gala dinner is planned around tables, and the guest list changes until the morning itself: a sponsor brings two more, a couple cancels, a table host swaps a name. With MPass, each guest holds a gala dinner ticket with a QR code on their phone, and the welcome desk scans instead of leafing through printed lists.

What a gala ticket carries, from name to table
The ticket shows the evening’s name, the date, the time of the reception, the venue and your colours or an image. Ticket types can be, for example, Seat at €85, Table of 8 at €640 and Sponsor at no charge, each with its own number of places. Guests can book through the link, but for a seated dinner many committees add each guest themselves, with a name, an email or mobile number and a table number. The ticket then sits in Apple Wallet or Google Wallet. MPass collects no money: the ticket says the price is settled with the organiser.
| Example category | Displayed price | Places |
|---|---|---|
| Seat | €85 | 120 |
| Table of 8 | €640 | 10 |
| Sponsor | Free | 20 |
Example categories, prices and numbers of places: you change everything. The price is shown on the ticket for information; MPass does not collect it.
Three moments of your event
When the invitations go out
The invitation letter or email carries the booking link. Table hosts forward it to their guests, and the places left per ticket type show at a glance how many seats are still open before you confirm numbers with the caterer.
The week of the dinner: late changes
A sponsor adds two guests on Wednesday. You enter them with their table number and their tickets are issued at once. The table layout itself stays in your own spreadsheet: MPass holds a number per guest, not a drawing of the room.
At the reception desk
Guests arrive in evening dress with a phone in hand. A volunteer scans the code and points the way to the table. No one waits while a name is looked up under the wrong spelling, and a code cannot be used twice.
How it works: 3 steps
Create the event
Name, date, time, doors and venue. Choose the “Gala and gala dinner” type, your colours or an image, then your ticket categories with a displayed price and a number of places.
Share the link
By WhatsApp, email, social media or on your website. Each person enters their name, picks a category and gets a ticket with a QR code straight away, to add to Apple Wallet or Google Wallet.
Scan at the door
Your team scans tickets with their own phones, with no hardware to buy. A ticket that has already been scanned is refused.
Example: a charity dinner for 112 guests
Picture a service club hosting a charity dinner in a manor house: 14 tables of 8, so 112 guests. The secretary adds every guest by name with a table number; 96 hold a Seat ticket shown at €85 and 16 are sponsors’ guests at no charge. Table hosts pay by bank transfer against the club’s own invoice, and the treasurer follows the payments. Two phones scan at the reception desk from 7 pm. With 112 tickets, Essential at €19 a month excluding VAT is enough. Clubs that prefer tickets without the MPass mention choose Pro at €49 a month excluding VAT.
Who collects the ticket price?
You do. MPass does not collect the ticket price and does not check payment: the ticket shows the amount “to be paid to the organiser”. Your guests pay you as they always have, on the door, in cash, by bank transfer or on your card reader. In return there is no commission and no per-ticket fee, and the money goes straight to you. If you need online payment at the time of booking, a ticketing platform with payments will suit you better.
What it costs
Free: 10 tickets a month, 1 active event, scanning on 1 phone. Essential (€19 a month excluding VAT): 150 tickets a month, 3 active events, 2 phones. Pro (€49 a month excluding VAT): 300 tickets a month, unlimited events, 5 phones, guest lists and tickets with no MPass mention. No commitment, and a 14-day trial of the paid plans with no credit card. More than 300 tickets a month? Write to us before you start.
Frequently asked questions
Is a table of eight one ticket or eight?
Both work. A Table of 8 ticket is a single ticket held by the host, scanned once for the whole table. If you would rather greet every guest by name, have each of the eight hold a Seat ticket: they book one by one, or you add them yourself. One booking always gives one ticket.
Can MPass draw the table layout or place guests?
No. MPass has no room layout and no numbered seats. When you add a guest yourself you can enter a table number, and that is all. Who sits next to whom, and where table 9 stands in the room, remains the committee’s work on paper or in a spreadsheet.
Our sponsors need an invoice for their table. Does MPass issue one?
No. MPass takes no payment, so it issues no invoice and no receipt to guests or sponsors. Your club or charity sends its own documents, as it does today, and decides what a table costs. MPass only charges you the monthly plan, with no commission on the evening’s takings.
Do guests need to install an app?
No. The ticket opens from a link and goes into Apple Wallet (iPhone) or Google Wallet (Android), which are already on the phone.
Can I try it without an account?
Yes. The trial button shows you an MPass pass on your own phone in a minute, with no sign-up. To create an event and share its link, you then open a free account: 10 tickets a month are included.
And the membership card?
Organisations that run this kind of event often have members too. The same app creates their membership card in Apple Wallet and Google Wallet, and an event can be reserved for members. All cards by activity.
